About the Role

Ardor Printing is looking for a motivated, organized, and personable individual to join our growing team as an Administrative Assistant & Customer Support Coordinator.

This is a great starting opportunity for someone looking to build a career, learn new skills, and grow with a company long-term. You don’t need to know how to do everything on day one. We’re willing to train the right person and help them develop the skills and confidence to take on more responsibility over time.

You’ll help keep our office running smoothly, support customer communication, and work alongside our team across different areas of the business. As you become more comfortable in the role, you’ll have opportunities to learn new skills, take on additional responsibilities, and gain a better understanding of how our business operates.

We’re looking for someone who is dependable, eager to learn, comfortable asking questions, and excited about the opportunity to grow with us.

Key Responsibilities

Customer Service & Communication

  • Answer incoming phone calls, respond to general inquiries, and direct customers to the appropriate team member.
  • Monitor and respond to general company emails.
  • Help with new customer inquiries by gathering contact information, project details, artwork, photos, and other necessary information.
  • Enter new leads and customer information into our CRM.
  • Follow up with customers regarding missing information, appointments, and project updates.
  • Help coordinate customer appointments, site visits, and vehicle drop-offs and pickups.
  • Provide a friendly, professional first point of contact for Ardor Printing.

Office & Administrative Support

  • Sort, distribute, scan, and organize incoming and outgoing mail.
  • Maintain organized digital and physical files, records, and paperwork.
  • Assist with data entry, document preparation, filing, and general office organization.
  • Monitor office supplies and place orders as needed.
  • Help coordinate deliveries, shipments, and incoming materials.
  • Assist with scheduling, calendar updates, and meeting coordination.
  • Support the team with administrative tasks and special projects as needed.

Customer & Project Coordination

  • Help gather the information needed to prepare estimates and project paperwork.
  • Assist with keeping customer records, project information, and follow-up reminders organized.
  • Collect artwork, measurements, photos, and other outstanding project details.
  • Help relay messages and basic project updates between customers, sales, design, production, and installation.
  • Assist with organizing information for upcoming production jobs and installations.
  • Flag urgent requests, customer concerns, and outstanding items for the appropriate team member.
  • Learn how our projects move from the initial customer inquiry through estimating, production, and installation.

General Team Support

  • Help maintain an organized, efficient, and professional office environment.
  • Assist with company events, shop activities, and other projects as needed.
  • Look for ways to improve organization and make everyday tasks more efficient.
  • Provide flexible support to the team as the business grows.

Qualifications

We’re more interested in your attitude, reliability, and willingness to learn than having years of experience.

  • Strong organizational skills and attention to detail.
  • Friendly, professional communication and customer service skills.
  • Comfortable using email, calendars, and basic computer programs, or willing to learn.
  • Ability to manage multiple tasks, stay organized, and follow through.
  • Willingness to ask questions, accept feedback, and learn new systems and processes.
  • Dependable, resourceful, and comfortable working in a team environment.
  • Ability to work independently once trained.
  • Valid driver’s license for occasional local business errands.

Previous experience in customer service, retail, administrative support, or an office environment is helpful, but not required. We’re happy to train someone who has the right attitude and potential.

Training & Career Growth

This is a starting role with room to grow.

We’ll provide training on our processes, systems, and day-to-day responsibilities so you can build confidence and become an important part of the team.

As you gain experience, you’ll have the opportunity to learn additional areas of the business, including estimating, project coordination, and other responsibilities that support our customers and operations.

We’re looking for someone who wants more than just a job. We want someone interested in developing their skills, taking on new challenges, and building a long-term future with Ardor Printing.

Why Join Ardor Printing?

  • Learn new skills with hands-on training and support.
  • Grow into additional responsibilities as you gain experience.
  • Work with a collaborative team in a growing company.
  • Build a foundation for a long-term career in the printing, graphics, and vehicle wrap industry.

What We’re Looking For

The right person is proactive, dependable, personable, and excited to learn. You don’t need to have everything figured out. You just need to be willing to put in the effort, communicate well, and take pride in doing a good job.

If you’re looking for an opportunity to get your foot in the door, develop valuable skills, and grow with a company that wants to invest in you, we’d love to hear from you.
